Privacy Policy
Last updated: 23 September 2026
Loving Memories Funeral Photography is committed to respecting your privacy and protecting the personal information you share with me.
I understand that arranging photography around a funeral or memorial service is personal and sensitive. I will only collect and use personal information where I have a legitimate reason to do so, and I will handle it with care.
This Privacy Policy explains what personal information I collect, why I collect it, how I use it, how I protect it and what rights you have.
1. Who I am
Loving Memories Funeral Photography is a trading name of Meena Julien.
For data protection purposes, I am the data controller responsible for the personal information I collect and use in connection with my photography services.

If you have any questions about how I use your personal information, please contact me using the details above.
2. What personal information I collect
Depending on how you contact me and the services you request, I may collect:
your name and contact details;
your email address;
your telephone number;
information about the funeral, memorial service or other event you are arranging;
the date, time and location of the service;
information about your photography requirements and preferences;
information needed to arrange access to a venue;
payment and transaction information;
photographs and other images of you and other people attending the event;
communications between you and me, including emails, messages and other correspondence;
information you voluntarily provide about the deceased person or family in order to help me understand your requirements.
I do not ask you to provide information that I do not need.
3. Information about other people
Funeral photography involves photographing people other than the person who books my services.
I may therefore process photographs and limited information relating to family members, friends, funeral staff, celebrants and other people attending the funeral or memorial service.
Where I receive personal information about another person from the person making the booking, I will use it only where necessary for the purposes explained in this Privacy Policy.
I do not expect the person making a booking to obtain consent from every person who may appear in photographs. My approach on the day is to work discreetly and respectfully, and I will follow reasonable requests about people who should not be photographed.
4. Photographs are personal information
Photographs of identifiable people are personal data under data protection law.
The fact that a photograph was taken at a funeral does not automatically mean that the photograph is special category data. However, photographs or accompanying information may sometimes reveal sensitive information, such as someone's health, religious beliefs or other protected information.
I therefore treat funeral photography as particularly sensitive and take care to minimise the information I collect and how I use it.
Where special category data is involved, I will only process it where the UK GDPR and Data Protection Act 2018 provide an appropriate lawful basis and condition for doing so.
5. Why I use your personal information
I may use your personal information to:
respond to your enquiry;
discuss your photography requirements;
check availability;
arrange and provide photography services;
communicate with you before, during and after the service;
arrange delivery of your photographs;
process payments and maintain appropriate business records;
respond to questions or requests about your photographs;
deal with complaints or disputes;
meet legal, accounting and insurance requirements;
protect my business and legal rights where necessary.
I will not use your personal information for a new purpose that is incompatible with the reason it was originally collected without first considering the applicable data protection requirements.
6. My lawful bases for using your information
Depending on what I am doing with your information, I may rely on one or more of the following lawful bases:
Contract
I may need to use your information to arrange and provide the photography service you have requested, including communicating with you, organising the booking and delivering your photographs.
Legitimate interests
I may use information where this is necessary for my legitimate business interests, provided those interests are not overridden by your rights and freedoms.
This may include maintaining business records, managing enquiries, protecting my business, dealing with disputes and improving the way I provide my services.
Legal obligation
I may need to retain or use certain information to comply with legal, accounting, tax or other regulatory requirements.
Consent
Where I ask for your consent for a particular use of your information, I will explain what you are consenting to.
For example, I will ask for separate consent before using photographs from a funeral for promotional purposes.
Where consent is the lawful basis, you can withdraw it at any time. Withdrawing consent does not affect processing that took place before you withdrew it.
7. Use of photographs for my portfolio and marketing
I understand that photographs taken at a funeral are particularly personal.
I will not automatically use photographs from a funeral for my website, social media, advertising, portfolio, publications or other promotional purposes simply because you have booked my services.
If I would like to use a photograph for promotional purposes, I will ask for separate, specific permission.
You are free to say no. Your decision will not affect the photography service I provide.
If you give permission and later change your mind, you can contact me and withdraw your consent for future use.
8. How I receive your information
I may receive your personal information:
directly from you;
from another family member or person arranging the photography;
through my website contact form;
by telephone;
by email;
through WhatsApp or other messaging services;
through a funeral director, celebrant or other professional involved in arranging the service, where appropriate.
Where I receive personal information from someone other than you, I will provide the relevant privacy information where required by data protection law.
9. Who I share your information with
I do not sell your personal information.
I may share limited personal information with trusted service providers where this is necessary to provide my services or run my business.
These may include:
file-delivery providers used to deliver photographs;
website and hosting providers;
email or communication providers;
accounting or bookkeeping services;
professional advisers, insurers or legal advisers where necessary;
government authorities or other organisations where I am legally required to do so.
I only share information that is reasonably necessary for the relevant purpose.
Where a service provider processes personal information on my behalf, I take reasonable steps to ensure that appropriate data protection arrangements are in place.
10. Your photographs and online galleries
Your photographs may be stored using secure digital storage and/or an online gallery or file-delivery service.
I will use reasonable technical and organisational measures to protect your photographs and personal information from unauthorised access, loss, misuse or disclosure.
You should be aware that no method of storing or transmitting information over the internet can be guaranteed to be completely secure.
11. How long I keep your information
I will not keep personal information for longer than I reasonably need it for the purpose for which it was collected, unless I have a legal or other legitimate reason to retain it for longer.
My intended retention periods are:
Enquiries that do not result in a booking:
Normally up to 12 months after the last meaningful contact.
Client booking and business records:
Normally for 7 years after the end of the relevant financial/tax period where necessary for accounting, tax, legal or insurance purposes.
Final edited photographs:
Normally retained for 12 Months after delivery.
RAW files and working files:
Normally retained for 3 months after delivery, unless there is a specific reason to retain them for longer.
These periods may vary where there is an ongoing dispute, legal claim, insurance matter or other legitimate reason to retain the information.
The ICO requires organisations to be able to justify how long they keep personal data and to review and securely delete information when it is no longer required.
12. Your rights
Under UK data protection law, you may have rights including:
the right to be informed about how your personal information is used;
the right to request access to the personal information I hold about you;
the right to ask for inaccurate information to be corrected;
the right to request erasure of your personal information in certain circumstances;
the right to ask me to restrict how I use your information in certain circumstances;
the right to object to certain types of processing;
the right to data portability in certain circumstances;
the right to withdraw consent where I rely on consent as my lawful basis.
These rights are subject to certain legal conditions and exemptions.
If you would like to exercise one of these rights, please contact me using the details at the beginning of this Privacy Policy.
13. How I deal with privacy complaints
If you have a concern about how I have handled your personal information, please contact me first so that I have the opportunity to understand and resolve the issue.
I will deal with privacy complaints in accordance with the applicable data protection requirements.
If you remain dissatisfied, you have the right to complain to the UK's data protection regulator:
Information Commissioner's Office (ICO)
Website: https://ico.org.uk/make-a-complaint/
The ICO can investigate concerns about the way organisations handle personal information.
14. Cookies and this website
My website may use cookies and similar technologies.
Some cookies are necessary for the website to operate. Other cookies may be used for purposes such as website functionality, security, analytics or remembering preferences.
Where consent is required, I will ask for it before using the relevant cookies.
You can find more information about cookies and how they are used through the cookie controls or information provided on this website.

My website may contain links to other websites.
I am not responsible for the privacy practices or content of websites operated by other organisations.
I recommend checking the privacy policy of any external website before providing personal information.
16. Children's information
My services are primarily intended for adults arranging funeral photography.
Children may nevertheless be present at funerals and may appear in photographs.
I do not knowingly collect children's personal information for separate purposes such as marketing or profiling. Where children are photographed as part of a funeral, I treat the images with particular care and will follow reasonable requests from parents or guardians regarding their photographs.
17. Changes to this Privacy Policy
I may update this Privacy Policy from time to time to reflect changes to my services, technology or data protection requirements.
The latest version will always be published on this website with the date it was last updated.
